Privacy Policy — Apply Pilot

Apply Pilot ("the Extension") is a Chrome extension that helps you auto-fill job application forms using a personal profile you create and manage entirely on your own device.

1. Data We Collect and Store

Apply Pilot saves the following data locally on your device using Chrome's built-in chrome.storage.local API. The extension uses your profile to fill forms on the page you choose. Enabling automatic AI matching or explicitly invoking an AI action, including smart import or connection testing, sends the data needed for that action to your selected service as described in Section 3.

AI provider settings	Your chosen AI provider (Anthropic, OpenAI, or Ollama), model name, local server address, and any cloud API key — stored locally only

AI requests are not routed through an Apply Pilot server, and profile data is not sent to the developer.

2. How We Use Your Data

Your profile data is used solely to:

Automatically detect and fill form fields on job application pages you visit
Match form fields to the relevant profile entries using keyword and semantic analysis
Generate draft answers for open-ended application questions (when AI is enabled)
Remember answers you manually enter so the same field can be filled automatically next time ("auto-learning")

3. Optional AI Features and Third-Party Data Transmission

Apply Pilot includes optional AI features powered by cloud large language model (LLM) APIs or an Ollama server. Automatic AI matching is disabled by default and activates when you:

Explicitly enable it in the extension's Settings page, and
Provide your own API key from Anthropic or OpenAI, or configure a local Ollama model.

For AI matching and answer generation, the request includes the data needed for the task and is sent to the service you selected (Anthropic, OpenAI, or Ollama):

Selected fields from your profile (e.g., job title, years of experience, skills, education, pre-written answers)
Information about unmatched form fields on the current page (field labels, placeholders, input types)

This data is transmitted directly from your browser to the API provider. It is not routed through any Apply Pilot server.

Cloud API keys are saved locally and included in requests to the selected provider for authentication. They are not sent to Apply Pilot. Ollama does not require an API key in the extension.

Ollama requests go through the extension background worker to your configured loopback address. Downloaded local models run on your device; cloud models served through Ollama still run remotely. The extension does not download models automatically.

Smart import is an explicit action that sends the selected document content to the configured service, even when automatic AI matching is disabled. Connection testing sends a short test prompt. Ollama smart import supports text and Markdown, not PDF.

Ollama model discovery requests the installed-model list from your configured local server without sending profile or document content.

If you neither enable automatic AI matching nor explicitly invoke an AI action, no AI requests are sent.

4. Data Storage and Retention

Your saved profile, settings, and learned answers are stored in your browser using chrome.storage.local. These local copies remain until you:

Manually clear it in the Settings page
Uninstall the extension (which removes all stored data)

The developer cannot retrieve or delete your local data on your behalf. Clearing local data does not delete data already sent to a selected AI service; that service's policies govern its handling and retention.

5. Permissions Explanation

Permission	Purpose
`storage`	Save your profile and settings locally on your device
`activeTab`	Temporarily access the current page so the extension can scan and fill its form when you trigger it
`scripting`	Inject the form-filling script into the current page when you trigger it
Loopback host permissions (localhost, 127.0.0.1, [::1]; HTTP/HTTPS)	Allow the background worker to call your local Ollama server. These permissions do not grant access to arbitrary websites.

6. Data Sharing

Apply Pilot does not:

Sell or rent your personal data
Transmit your data to any Apply Pilot server
Use your data for advertising or analytics
Send data to AI services except as described in Section 3 (matching you enable and AI actions you explicitly invoke)

7. Children's Privacy

Apply Pilot is intended for adults seeking employment. We do not knowingly collect data from users under the age of 16.

8. Changes to This Policy

If this policy is updated, the "Last updated" date at the top of this page will change. Continued use of the extension after changes constitutes acceptance of the updated policy.
